Privacy Policy for Podix
Welcome to Podix! We are committed to protecting your privacy. This Privacy Policy explains how Podix ("we," "us," or "our") handles information when you use our application and services that convert your PDF/PPT documents into AI-generated podcasts (the "Service").
Our core principle is to provide you with our Service without unnecessarily collecting or storing your personal information beyond what is needed to deliver and improve the Service.
1. What Information We Process
Your Documents (PDFs/PPTs):
You voluntarily upload your documents (e.g., university textbooks in PDF or PPT format) to our Service for conversion into podcasts. The content of these documents is processed by our system and third-party AI services solely for the purpose of generating the podcast audio and related metadata (like title and summary). We do not analyze the content of your documents for any other purpose, nor do we claim ownership of your content. Your original uploaded documents are stored on our secure cloud servers to enable processing.
Generated Podcasts and Metadata:
The AI-generated audio podcast files are created from your documents. These audio files, along with metadata such as a title, summary, original filename, and audio duration, are stored on our secure cloud servers to enable you to access and manage them within the app.
User Account Information:
If you create an account with Podix, we will collect and store information necessary to manage your account, such as a user identifier and information about your subscription or usage tier. Even if you use the service without an account, some usage data might be tracked anonymously to manage service limits.
Technical and Usage Information:
We track the status of your conversion jobs, error logs for troubleshooting, and basic usage data to improve the Service. We do not collect device-specific information like IP addresses or unique device identifiers for tracking or advertising purposes beyond what's necessary for basic session management.
2. How We Use Your Information
- To Provide and Maintain the Service: To accept your documents, process them using AI, generate podcasts, and make those podcasts available to you.
- To Manage Your Account and Usage: To manage your subscription, track usage limits, and provide customer support.
- To Improve the Service: To understand how our Service is being used so we can improve its functionality and user experience.
- To Communicate with You: To send essential service-related notices. We will not send marketing communications unless you explicitly opt-in.
3. Sharing and Disclosure of Information
AI Service Providers:
The content of your documents is sent to third-party AI services to create the podcast script and audio. These services process your data according to their own privacy policies.
Cloud Hosting Provider (Google Cloud Platform / Firebase):
Your uploaded documents, generated audio files, and associated metadata are stored on Firebase, which utilizes Google Cloud Platform. Google Cloud Platform provides the secure infrastructure for our Service.
Legal Requirements:
We may disclose your information if required by law or to protect our rights, prevent fraud, or protect user safety.
We do not sell, rent, or trade your personal information or the content of your documents to any third parties for their marketing purposes.
4. Data Security
We take reasonable administrative, technical, and physical measures to protect your information from loss, theft, misuse, and unauthorized access. We use secure cloud infrastructure (Firebase/Google Cloud) which employs industry-standard security practices. However, no internet-based service is 100% secure, and we cannot guarantee the absolute security of your information.
5. Data Retention
- Original Uploaded Documents & Generated Content: Stored for as long as you use the Service, or until you delete them, or if your account is terminated.
- User Account Information: Retained for as long as your account is active and for a reasonable period thereafter.
- Temporary Files: Files created during processing are deleted after the final podcast is generated or if an error occurs.
6. Your Choices
- Accessing and Deleting Your Content: You may be able to access, modify, and delete your content through the application.
- Account Deletion: You may request account deletion. Upon deletion, associated data will be removed according to our retention policies.
- Opt-out of Communications: You can opt-out of non-essential communications.
7. Children's Privacy
Podix is not intended for children under the age of 13. We do not knowingly collect personal information from children. If we learn we have, we will take steps to delete that information quickly.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting the new Policy within the application and updating the "Effective Date." We encourage you to review this Policy periodically.
